Guide · merge & dedupe

Merge Alipay + WeChat Pay bills without booking the same money twice

Updated 2026-10-21 · ~6 min · multi-wallet freelancers

One wallet is not enough: clients may pay Alipay while you pay costs on WeChat. Paste both CSVs together and the classic failure is counting balance transfers or cross-wallet pays as two real cash flows. Here is a repeatable merge + dedupe rule set.

Normalize both sides first

Clean each export into the same schema before comparing in Excel:

FieldMeaning
dateYYYY-MM-DD (local day is fine for most reconciliations)
amountIncome +, expense −
directionin / out
counterpartyWho
categoryBusiness category
noteMemo / item
sourcealipay / wechat / bank
order_idPlatform order id when present

Dedupe rules that usually work

  1. Same order_id across sources → keep one row (prefer the wallet where cash settled).
  2. Transfer / top-up keywords (余额充值, 转账, 零钱通, etc.) that appear as − on A and + on B within minutes → drop both or mark as internal.
  3. amount + date + opposite direction with matching note fragments → review; often a cross-wallet pay.

Keep a “suspects” sheet for borderline matches. Do not auto-delete large client receipts.

BillFold shortcut

Clean each CSV with BillFold, then merge the clean files and apply the rules above. Pro includes source + samples so you can script the dedupe once.
